1. Who we are

House of Royal Hearts is an organisation based in the Netherlands offering ceremonial gatherings, retreats, coaching, and community. We are the data controller for the personal data we process.

2. What data we collect

We may collect the following personal data:

• Contact information — your name and email address when you subscribe to our newsletter, submit a contact form, or register for an event.
• Registration details — information you provide when signing up for a temple, retreat, arc, or coaching session, such as name, email, and any details you choose to share.
• Payment data — processed securely through our third-party payment providers. We do not store full card details.
• Website usage data — anonymised analytics data via Google Analytics (page views, session duration, traffic source). No personally identifiable data is stored at the analytics level.

3. Why we collect it and the legal basis

• Newsletters and updates — based on your consent (Article 6(1)(a) GDPR). You can withdraw consent at any time.
• Event registration and booking — necessary for the performance of an agreement with you (Article 6(1)(b) GDPR).
• Coaching and therapy — based on your explicit consent and the performance of a contract (Article 6(1)(a) and (b) GDPR).
• Website analytics — based on our legitimate interest in understanding how our website is used, in order to improve it (Article 6(1)(f) GDPR).

4. How long we keep your data

• Newsletter subscriptions: until you unsubscribe.
• Event and booking data: up to 2 years after the last event or contract.
• Financial and tax records: 7 years, as required by Dutch law.
• Coaching session notes: retained only as long as necessary for the therapeutic relationship, with your agreement.

5. Third parties

We share personal data only where necessary:

• Hipsy — our ticketing platform. Purchases made through Hipsy are subject to their privacy policy.
• Google Analytics — anonymised website analytics. Google LLC, United States. Data processing agreement in place.
• Email service provider — for sending newsletters and confirmation emails.
• Payment processors — for secure payment processing.

We do not sell or rent your personal data to any third party.

6. Your rights

Under the GDPR (AVG) you have the following rights:

• Right of access — you may request a copy of the data we hold about you.
• Right to rectification — you may ask us to correct inaccurate data.
• Right to erasure — you may ask us to delete your data, subject to legal retention requirements.
• Right to restriction — you may ask us to restrict how we process your data.
• Right to data portability — you may request your data in a commonly used, machine-readable format.
• Right to object — you may object to processing based on legitimate interest.
• Right to withdraw consent — where processing is based on consent, you may withdraw it at any time.
